Frequently asked questions
Answers on the EventWebStudio offer: what is included, revisions, articles, the AI Engine, hosting, domains, moving your current site and billing.
The offer
How long until my event website is live?
7 days on Load-In, 10 on Showtime while the AI agents are trained, and 15 on Encore with the Content Engine running. The clock starts at your onboarding call, not at purchase, so the sooner the form is in, the sooner you are live.
Do you handle event planning, permitting or logistics for us?
No. We are a website design and management company, not an event planning company, production company or event management firm. We build and run the website that markets and books your events. Everything about running the event itself, including permits, vendors and day-of logistics, stays entirely with you.
Can the site handle more than one kind of event we run?
Yes. A dedicated page is built for each event type you name during onboarding, from weddings to corporate conferences to galas, each written for how that buyer decides. Adding another event type later is a standard revision.
Getting started
What happens straight after I buy?
You fill in the onboarding form and submit it. It asks for your event types, service area, brand, domain and where inquiries should land, and it takes about 15 minutes. If something is missing, submit anyway: you can send the rest by email or raise it as a ticket in your client portal, and it will not hold up the build. We then run one onboarding call to fill any gaps and agree the launch date.
What is the client portal?
It is your account with us, and you get it the day your site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files you still owe us, and message our team directly. Everything to do with your site runs through it, so nothing gets lost in an inbox. You never log in to the website itself; we handle that side.
What do you need from us to build the portfolio?
Photos or video from past events, organized however you have them, plus a note on which event type each set belongs to. If you do not have photos ready yet, we launch with placeholder categories built from your event types and add real work as you send it.
Revisions and the client portal
What counts as a revision, and what happens after five?
A revision is any change request you send, and there is no limit on how much goes into one. New event-type page, updated pricing, a different photo set, a colour change: each is one revision. So is something much larger. "Build two new pages, here is the copy and photos for both" is one revision, not two. 5 are included every month. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size.
How do I actually request a change?
Raise it in your client portal. You describe the change, attach anything we need, and it lands with the team as a tracked request so you can see where it is. You can also email us or reply to any thread with our team, and we log it for you. Unused revisions do not roll over to the next month.
Can we add a new event type page as a revision?
Yes, at any time. Send the copy and any photos you want on the page and it is built as a single revision, live within 2 to 5 working days.
Articles
What do the weekly articles actually cover?
Sourced, event-industry topics written for your service area and event types: planning timelines, venue considerations, seasonal comparisons and the questions your buyers search before they ever fill in a form. Every plan includes at least 2 a week, each 2,500 to 3,200 words, and every figure links to where it came from.
Can we request specific article topics?
Yes. Send topic requests through your client portal at any time and our editorial team works them into the schedule alongside the topics we identify from search demand in your market.
The AI Engine
What does the AI Engine actually do?
On Showtime and Encore, a missed call is texted back automatically within a minute so the inquiry does not go to the next planner on the list, and a chat widget on the site answers common questions about your services and availability. You review every script before launch, and the agent hands off anything that needs a human decision.
How is AI usage billed?
AI usage on Showtime and Encore is billed monthly in arrears at what our providers charge us, on top of the flat monthly fee. There is no markup and no separate setup charge.
Hosting and management
Is hosting an extra cost?
No. Hosting is included in the monthly fee and never billed separately. Your site runs on Cloudflare's global network with SSL, CDN, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line item in month four, even around a traffic spike close to an event date.
What do you check on the site each week?
PageSpeed is checked and fixed if it slips below 90, SSL and hosting are monitored on our side, and new articles publish on schedule, all without you needing to ask.
Domains
Do I have to pay for a domain?
No. One domain is included free for as long as your plan is active, registered in your name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for people who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.
Moving from your current site
Will we lose our current search rankings if we move to a new site?
We build a redirect map from your current site's URLs to the new ones before anything old comes down, so existing rankings and inbound links carry over rather than being lost in the switch.
What happens to our current domain and content?
If you already own a domain, we point it at the new site so nothing changes for people who know your address. Existing copy, photos and past-event details are reviewed during onboarding and rebuilt into the new page structure rather than copied as-is.
Billing and cancellation
What do I actually pay, and when?
You pay the monthly fee for the tier you choose up front: $127, $267 plus AI usage, or $647 a month. The $697 one-time build fee is invoiced only after your site is live and you are satisfied with it. Domain and hosting are inside the monthly figure.
How do I cancel, and how much notice do you need?
Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and your site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.
Do you offer refunds?
No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved your site, which is exactly why it is not refundable afterwards.
Can we upgrade from Load-In to Showtime or Encore later?
Yes, at any time. The change takes effect on your next billing cycle and we configure the added features, including the AI Engine or the faster article schedule, as a standard onboarding step rather than a separate project.
